Merchant of Record Statement
Your Flights acts as the merchant of record for agency service fee transactions. For airline ticket base fare charges, the merchant of record may be either Your Flights or the operating airline carrier, depending on how the ticket is ticketed and settled.
- YOUR FLIGHTS — for agency service fees and agency-processed tickets
- YOURFLIGHTSLLC.COM — alternate web descriptor for the same entity
- AIRLINE/YOUR FLIGHTS — for split-settlement transactions where the airline portion is billed separately
- [AIRLINE NAME] — in cases where the airline directly charges the base fare
If you see a charge you do not recognize, please call us at before disputing with your bank, as we can provide full transaction documentation within 24 hours.
U.S. DOT 24-Hour Cancellation Rule
Your Flights complies with the U.S. Department of Transportation (DOT) 24-Hour Cancellation Rule as set forth in 14 CFR Part 259 and DOT Order 2012-10-20.
Conditions applying to the DOT 24-Hour Rule:
- The cancellation must be requested within 24 hours of the original booking timestamp — not 24 hours from the time of travel.
- The booking must have been made at least 7 days before the scheduled departure.
- The refund applies to the base airfare and taxes charged by the airline. Your Flights's agency service fee is non-refundable under this rule, as the agency service represents work already performed by our agents.
- Refunds under the 24-hour rule are processed back to the original payment method within 7–10 business days for credit cards and 20 business days for cash or check purchases.
- To request a 24-hour cancellation, you must call our agent desk at within the applicable window.
For bookings made less than 7 days before departure, the DOT 24-hour rule does not apply, and standard airline cancellation policies govern refund eligibility.
Airline Cancellation Fees and Refundability
All airline tickets are subject to the fare rules established by the operating carrier at the time of ticketing. Your Flights does not set or modify airline cancellation fees. Common airline cancellation policies include:
- Refundable (Flex) Fares: Fully refundable to the original form of payment. Airline may charge a cancellation processing fee in some cases.
- Non-Refundable Fares: Tickets are not eligible for cash refund upon voluntary cancellation. The value may be held as a travel credit or future voucher, subject to airline policy and applicable change fees.
- Basic Economy: Generally non-refundable and non-changeable. No credit is issued upon cancellation.
- Award Tickets: Subject to the frequent flyer program's own cancellation rules and mileage redeposit fees.
Your Flights strongly advises customers to purchase travel insurance to protect against unexpected cancellations, especially for non-refundable fares. Our agents can advise on insurance options during the booking call.
In the event an airline cancels or significantly delays your flight (an "involuntary cancellation"), the DOT requires the airline to provide a full refund of the ticket price (including taxes) to the original form of payment, regardless of the fare type purchased. Your Flights will assist you in filing this refund request with the airline.
Agency Administrative Handling Fees — Non-Refundable
Your Flights charges an agency service fee for the professional travel assistance services rendered by our agents. These fees are:
- Domestic single-segment bookings: $25 – $50
- Domestic multi-city or complex routing: $50 – $75
- International bookings (any destination): $50 – $100
- Flight changes, rebooking, or modifications: $25 – $75
- Name corrections: $25 – $75
- Business class or premium cabin bookings: $75 – $100
All agency service fees are non-refundable once a booking has been completed and confirmed, regardless of the following:
- Whether the customer subsequently cancels the airline ticket.
- Whether the airline issues a full or partial refund for the base airfare.
- Whether the customer changes their travel plans or no longer requires the ticket.
- Whether the booking was made in error by the customer (subject to the 24-hour DOT rule exception above).
The non-refundable nature of agency fees reflects the professional time, GDS system access costs, telephonic consultation, and expert knowledge invested by our agents in facilitating the booking, regardless of the ultimate outcome.
In exceptional circumstances at the sole discretion of Your Flights management — such as demonstrable agent error — a partial or full refund of the agency fee may be considered on a case-by-case basis. To request such a review, contact us at .
Refund Processing Timeline
Refund processing timelines depend on multiple factors, including the airline's internal disbursement schedule, your bank's processing time, and whether the ticket was ticketed as an airline-direct transaction or an agency transaction.
- DOT 24-Hour Cancellation Refunds: Initiated within 24 hours of the cancellation request; reflected on credit card statements within 7–10 business days.
- Airline-Approved Voluntary Refunds (Refundable Fares): Once the airline approves and disburses the refund to Your Flights or the GDS, we pass the refund through to the customer's original payment method within 30 calendar days of airline disbursement, or as quickly as the payment gateway allows.
- Involuntary Refunds (Airline-Cancelled Flights): Filed with the airline on your behalf within 5 business days of the cancellation. Airline processing may take 7–30 business days. Your Flights will forward the refund within 10 business days of receipt from the airline.
- Travel Credits and Vouchers: Where the airline issues a travel credit rather than a cash refund, the credit is tied to the ticket number and must be used directly with the airline or through our desk. Expiration dates for credits are set by the airline and cannot be extended by Your Flights.
